Bridging the distance – Successfully conducting a cross-border video conference with Chilean clients

As globalization deepens, cross-border business cooperation is becoming more and more common. As a manufacturer with 20+ years of foreign trade experience, video conferencing with customers or partners from different countries and cultural backgrounds has become an important part of daily business communication. However, how to communicate remotely efficiently and professionally, especially in the face of time differences, language barriers and cultural differences, is a process that requires careful preparation.

On April 24, 2025, an important remote video conference was successfully held, connecting our company with important customers in Chile. Participants in the meeting included General Manager Wang, Deputy General Manager Lu, Engineer Chen, and Business Managers Zhou and Cao.

Before the meeting, we first conducted a technical inspection to ensure that the network connection was stable and the camera and microphone were working properly before the meeting started. Test audio and video quality to avoid technical problems during the meeting. Collect all relevant information on gear ring technology, including design drawings, specifications, production process flow, quality control standards, etc., and prepare electronic versions for easy sharing. Prepare the meeting agenda in advance, clarify the topics to be discussed and send them to the customer so that both parties are prepared. Prepare PPT presentation materials to clearly show the technical details, solutions and case analysis of the ring gear.
After the meeting, organize the minutes of the meeting in a timely manner, summarize the key points of the discussion and the next action plan, and confirm with the customer.

In this remote video conference with customers from Chile, we discussed in depth the technical issues related to the gear ring. The whole process not only demonstrated our professional capabilities, but also reflected our determination to solve customer problems. Through detailed technical analysis and effective communication strategies, we successfully answered customers’ questions and provided practical solutions. Customers highly recognized our expertise and meticulous service, which greatly enhanced their trust in us.
